4. Henkilötietojen käsittelyn peruste ja käyttötarkoitus

EU:n yleisen tietosuoja-asetuksen mukainen oikeusperuste henkilötietojen käsittelylle on rekisterinpitäjän oikeutettu etu.

Henkilötietojen käsittelyn tarkoitus on yhdistyslain (503/1989) 11§ vaatima jäsenrekisterin ylläpito, sekä ylläpitää Lähi-idän opiskelijat ry:n jäsenien yhteystietoja.

Rekisterissä ei säilytetä Lähi-idän opiskelijat ry:hyn kuulumattomien henkilöiden yhteystietoja. Mikäli jäsenyys puretaan, tiedot poistetaan rekisteristä kohtuullisen ajan kuluessa, viimeistään kuukauden päästä eroamis- tai erottamispäätöksestä.

6. Säännönmukaiset tietolähteet

Henkilötiedot kerätään Lähi-idän opiskelijat ry:hyn liittyviltä tai jo liittyneiltä jäseniltä www-lomakkeella.

7. Tietojen luovuttaminen ja tietojen siirto EU:n tai ETA:n ulkopuolelle

Henkilötietoja voidaan luovuttaa Helsingin yliopiston ylioppilaskunnalle yhdistyksen jäsenyyteen liittyvien toimenpiteiden toteuttamiseksi. Muille tahoille tietoja ei luovuteta.

Yhdistys voi käyttää henkilötietojen käsittelyssä myös muita palveluntarjoajia, jotka sijaitsevat Euroopan Unionin tai Euroopan talousalueen ulkopuolella. Henkilötietojen siirto Euroopan Unionin tai Euroopan talousalueen ulkopuolelle toteutetaan aina jollakin alla mainitulla, lainmukaisella perusteella:

Euroopan komissio on päättänyt, että kyseisessä vastaanottajamaassa on varmistettu riittävä tietosuojan taso; tai

Rekisteröity on antanut nimenomaisen suostumuksensa henkilötietojensa siirtämiseksi, tai henkilötietojen siirtämiselle on olemassa muu lainmukainen peruste.

Henkilötietoihin ei anneta pääsyä enempää kuin on välttämätöntä palveluiden toteuttamiseksi. Henkilötietojen siirto Euroopan unionin tai Euroopan talousalueen ulkopuolelle perustuu aina voimassaolevaan henkilötietojen käsittelyä koskevaan lainsäädäntöön ja toteutetaan kyseisen lainsäädännön mukaisesti.

8. Henkilötietojen suojaaminen ja tietoturva

Rekisterin käsittelyssä noudatetaan huolellisuutta. Tietoja säilytetään vain sähköisessä muodossa luotettavalla ja EU:n tietosuojalainsäädäntöä noudattavan kolmannen osapuolen Internet-palvelimella.

Rekisterinpitäjä huolehtii siitä, että rekisteriin on pääsy vain asiaankuuluvilla henkilöillä.

9. Tarkastusoikeus ja oikeus vaatia tiedon korjaamista

Jokaisella rekisterissä olevalla henkilöllä on oikeus tarkistaa rekisteriin tallennetut tietonsa ja vaatia mahdollisen virheellisen tiedon korjaamista tai puutteellisen tiedon täydentämistä. Mikäli henkilö haluaa tarkistaa hänestä tallennetut tiedot tai vaatia niihin oikaisua, pyyntö tulee lähettää kirjallisesti rekisterinpitäjälle. Rekisterinpitäjä voi pyytää tarvittaessa pyynnön esittäjää todistamaan henkilöllisyytensä. Rekisterinpitäjä vastaa rekisteröidylle EU:n tietosuoja-asetuksessa säädetyssä ajassa (pääsääntöisesti kuukauden kuluessa).

10. Henkilötietojen säilytysaika

Rekisterissä säilytetään vain niiden henkilöiden tietoja, jotka ovat Lähi-idän opiskelijat ry:n jäseniä. Lähi-idän opiskelijat ry:stä eronneiden tai erotettujen henkilöiden tiedot poistetaan rekisteristä kohtuullisen ajan kuluessa, viimeistään kuukauden päästä eroamis- tai erottamispäätöksestä.

11. Muutokset tähän tietosuojaselosteeseen

Tätä tietosuojaselostetta voidaan päivittää aika ajoin esimerkiksi lainsäädännön muuttuessa. Tämä tietosuojaseloste on viimeksi päivitetty 13.3.2025.

4. Legal basis and the purpose of the processing of personal data

The legal basis in compliance with the EU’s General Data Protection Regulation for the processing of personal data is the legitimate interest of the data controller.

The purpose of the processing of personal data is the maintenance of a member registry required by the Associations Act (503/1989), Section 11, as well as the maintenance of contact information of Lähi-idän opiskelijat ry members.

5. Personal data processed

The following data are stored in the filing system:

Date of joining

Name

Municipality of residence

E-mail address

Year of birth

Membership of HYY

Degree program and major

Data on persons who are not members of the association are not stored in the registry. If membership is terminated, the data of the member is removed from the registry within a reasonable period of time, within one month.

6. Regulatory data sources

Data stored in the registry is received through an online form from members joining the association and members who have already joined it.

7. Data disclosure and data transfer outside the EU or the EEA

Personal data may be disclosed to the Student Union of the University of Helsinki to conduct measures related to membership in the association. The data are not transferred to any other party.

The association may also use other service providers in the processing of personal data, and such service providers may be located outside the European Union or the European Economic Area. The transfer of personal data outside the European Union or the European Economic Area is always performed according to one of the following, lawful bases:

The European Commission has decided that an adequate level of data protection has been ensured in the country receiving the data;

or

The data subject has given their explicit consent for the transfer of their personal data, or other lawful basis exists for the transfer of the personal data.

No more access is given to the personal data than is necessary to realise the services. The transfer of personal data outside the European Union or the European Economic Area is always based on current legislation on the processing of personal data and complies with the legislation in question.

8. Principles of protecting the registry

Care is exercised in the processing of the registry. The data are only stored in electronic form in secure third-party online servers that comply with EU’s data protection legislation.

The person responsible for the registry ensures that only the relevant people have access to the filing system.

9. Right of inspection and right to request rectification

Everyone included in the registry has the right to inspect the data on themselves in the filing system as well as to request the rectification of possible inaccurate data or the supplementation of incomplete data. In case a person wishes to inspect the data on themselves or request their rectification, the request must be made in writing and sent to the person responsible for the registry. If necessary, the person responsible for the registry may request the person making the request to prove their identity. The person responsible for the registry shall respond to the data subject within the timeframe stipulated in the EU’s General Data Protection Regulation (generally within one month).

10. Storage duration of the personal data

Only the personal data of the members of the Lähi-idän opiskelijat ry are stored in the registry. If membership is terminated, the data of the member is removed from the registry within a reasonable period of time, within one month.

This privacy statement might be updated from time to time for example if the legislation changes. This statement was last updated on the 13th of March 2025.
